Billing & Suspension Policy

This policy explains how billing, overdue payments, automated restrictions, and suspension work for QBarber subscriptions. It forms part of the Terms of Service. If there is a conflict about billing, overdue payment, automated restriction, or suspension, this policy applies to those subjects. The Terms still govern liability, rights that cannot be excluded, and anything this policy does not cover. The Data Processing Agreement still governs personal data. Nothing in this policy removes QBarber’s duty to protect personal data it still stores.

Read it with the Privacy Statement, Cookie Policy, and Hardware Rental Terms. Queue estimates remain operational indicators only and are not guarantees. A restriction or suspension does not make QBarber responsible for shop delays, queue outcomes, or customer dissatisfaction.

1. Billing

Subscriptions are billed through Stripe.

  • Fees are charged monthly or yearly, depending on the plan you choose.
  • You must keep payment details up to date. You authorise QBarber and Stripe to charge the payment method you provide, and to retry a failed charge.
  • Subscriptions renew automatically unless you cancel in accordance with this policy and the Terms.
  • Price changes for future billing periods will be notified where practicable, before they apply to an existing subscription.

The price, plan, and any hardware charge are those shown when you subscribe, or as later notified for a future period. A subscription is in good standing when amounts due have been paid and the account is not suspended. While it is in good standing, core queue functionality remains available, as described in the Terms. Optional features may change without notice.

2. Overdue payments

If a payment fails:

  • Stripe retries automatically.
  • QBarber may notify the shop in the portal.
  • If payment remains overdue, features may be restricted automatically.

Fees already incurred remain payable. For business customers, overdue sums may also carry statutory interest and fixed recovery costs, as set out in the Terms. A failed or reversed payment means the subscription is not in good standing, even if a retry is still in progress.

3. Automated restrictions

QBarber may restrict features automatically based on billing status, misuse, or security anomalies. Restrictions may include:

  • Queue access
  • Device pairing
  • Kiosk, tablet, or display functionality
  • Shop Owner Portal access
  • Loyalty features
  • Analytics

Restrictions may occur without prior notice where delay would increase risk. They may be applied by automated shop-status rules, without a separate human review. Restrictions do not remove QBarber’s duty to protect data still stored.

Misuse includes entering special-category or criminal-offence data, using impersonation outside the authorised shop or for personal advantage, publishing or bypassing pairing codes, and interfering with the queue. A security anomaly includes unusual sign-in, pairing, or access that indicates the account or a device may be compromised.

Restricting a feature does not turn a queue estimate into a guarantee, and it does not make QBarber responsible for waits, queue outcomes, or dissatisfaction with the shop. Pairing codes remain confidential. A restriction may revoke pairing. You must still unpair a device that is lost or stolen and tell us promptly.

4. Suspension

If payment remains overdue or misuse continues:

  • The shop may be suspended.
  • Devices may be unpaired.
  • Queue access may be disabled.
  • Staff accounts may be restricted.

Suspension does not remove the obligation to pay outstanding fees. Impersonation sessions may be ended. Staff must not try to avoid a suspension by pairing a device to another shop or by sharing another shop’s login.

Suspension does not, by itself, end the Data Processing Agreement while QBarber still stores the shop’s personal data. Security and confidentiality duties continue. If you rent hardware, your duty to take care of it continues during suspension. Return is dealt with in the Hardware Rental Terms when the rental or subscription ends.

QBarber is not liable for loss that results from a restriction or suspension carried out under this policy or the Terms. Liability limits, and liabilities that cannot legally be excluded, are set out in the Terms.

5. Cancellation

  • You may cancel at any time.
  • Cancellation takes effect at the end of the current paid period.
  • Fees already paid are non-refundable unless required by law.

You can cancel in the portal billing tools or by emailing hello@qbarber.co.uk. Until the end of the paid period you keep access, unless the account is restricted, suspended, or terminated earlier under this policy or the Terms. Consumer cancellation rights that cannot be excluded are set out in the Terms and are not reduced by this policy.

6. Reactivation

Restrictions lift automatically once overdue payments are resolved. That applies to restrictions imposed only because payment was overdue, and only once Stripe confirms the overdue amount has been paid.

Restrictions imposed for misuse or a security anomaly are not lifted merely because a payment succeeds. QBarber may restore access when it is reasonably satisfied that the cause has been resolved, unless the account has been terminated under the Terms. After devices are unpaired, you may need to pair them again. Pairing codes must still be used only inside your shop.
